Faculty and Staff Travel

Faculty and staff traveling domestically or abroad on university business with or without students for any reason should follow these guidelines.

Faculty and Staff Domestic Travel Without Students

All faculty and staff seeking funding or support from the University for travel related to professional development, research, or other university business must secure advance approval from their department heads or supervisors.

Faculty and Staff International Travel Without Students

The Travel Registry is for international travel not affiliated with the Center for International Education, such as faculty/staff abroad on university business, travel with an athletic team, the choir, etc. All personnel participating in Washington and Lee sponsored international travel must register their travel to include emergency contact information.University funds can only be used to fund international travel for faculty, staff, and students to countries where the U.S. Department of State's Travel Advisory is Level 1 (Exercise Normal Precautions) or Level 2 (Exercise Increased Caution). For destinations where any travel advisory exceed level two, travelers must request an exception the travel registry. The Provost will use the travel advisory with the ISOS report to determine whether to make an exception. Absent an approved exception, no tickets should be purchased or non-refundable expenditures made.

Faculty and Staff Domestic Travel With Students

All faculty and staff who organize University-sponsored domestic trips with students must ensure they follow University policy for housing and transportation. Two weeks before traveling the faculty or staff lead and students must register with the Domestic Travel Registry.

Faculty and Staff International Travel With Students

Faculty, staff, or student groups who organize trips abroad with students (other than W&L Spring Term Abroad courses) will need to register with the Travel Registry. Faculty will also need to coordinate with Center for International Education to register your group for University Global Medical and Other Foreign Travel Coverage, which provides comprehensive coverage for illness, injury, political unrest, and natural disaster, including evacuation and repatriation. University funds can only be used to fund international travel for faculty, staff, and students to countries where the U.S. Department of State's Travel Advisory is Level 1 (Exercise Normal Precautions) or Level 2 (Exercise Increased Caution).
