Washington and Lee Catering Services Policies

Thank you for considering Washington and Lee ("W&L") Catering Services for your event! Our Catering Department offers a wide variety of menu options and services that can fit your event needs. Our professional staff and talented chefs will assist in making your event a success. Please review the following policies to ensure a smooth and successful catering experience.

1. Introduction and Overview
W&L Catering is committed to providing excellent service and creating memorable experiences for your event. Whether you're hosting an intimate gathering or a large event, our team is here to assist in making your event extraordinary. Please note that W&L Catering has the first right of refusal for all campus events. Only if W&L Catering is unable to provide services for your event may you seek outside catering.

2. Scheduling and Planning an Event
To ensure that your event runs smoothly, please review the University Facilities Use Policy ("UP"). Once you've reviewed the UP, arrange for an appropriate event location. Students, faculty, and staff can reserve most campus spaces online via 25Live. External (non-W&L) groups should contact the Facility Contact for the desired location as outlined in the UP (Section 1, Location).

  • Evans Hall can be reserved directly through the Catering Department at (540) 458-8698 or by emailing catering@wlu.edu.
    • Room Rates: Evans Hall rental cost is $2,500 for the first four hours, with additional hours charged at $500 per hour. Internal W&L events do not incur a rental fee, but setup and teardown charges may apply.

Once you have confirmed the event space, please contact Catering to ensure we are available for your event. Please note: Catering services are not guaranteed until confirmed by our department. A minimum of 15 guests is required for all catered events. If your guest count is fewer than 15, you will be charged for the minimum.

3. Menu Selections and Guest Counts
Event planning should be completed, and menus confirmed at least fourteen (14) days prior to your event. Menu confirmation is considered complete once you have reviewed the event order and emailed approval.

  • Late Event Fee: A $100 fee or 10% of your food and beverage order (whichever is greater) will be charged for orders that are finalized less than 14 days before the event.
  • Guest Count: The expected guest count must be submitted 14 days prior to the event. The final guest count is required 7 days prior to the event. You will be billed based on either the confirmed guest count or the higher of the expected or actual number of guests served. Last-minute changes after the final guest count may result in adjustments to your menu.

4. Payment
For internal groups (W&L departments), payment is due after your event via internal billing. We accept valid Workday Account Numbers for billing. It is your responsibility as the client to ensure you are providing the correct account number.
For external groups, a 50% deposit is required at least two weeks before the event.

  • Invoicing: A final invoice will be issued three (3) business days prior to your event.
  • Additional Charges: Any additional charges incurred during the event (e.g., alcohol consumption) will be billed after the event.
  • Payment Methods: Payment can be made by check.

5. Event Cancellations
If you need to cancel your event, please notify us as soon as possible by email at catering@wlu.edu

  • Cancellations made at least two weeks prior to your event will incur no charges and will receive a full refund of your deposit.
  • Cancellations between two weeks and three business days before the event will incur a $100 cancellation fee or 10% of your total bill. whichever is higher.
  • Cancellations within three business days will result in a $200 cancellation fee or 20% of your total bill. whichever is higher.

Note: If the University decides to close campus for any related emergency or inclement weather ALL scheduled Catering events will be considered cancelled. In such cases, we will work with you to reschedule or adjust billing accordingly.

6. Catering Pricing and Additional Charges
Event pricing is determined by the following factors:

  • Menu selections
  • Final guest count
  • Length of the event
  • Location
  • Service style
  • Labor requirements
  • Delivery and setup needs

Additional charges may apply for:

  • Specialty linen, alcohol, decor, and rentals.
  • All catered events are subject to 5.3% Virginia Sales Tax and 6% City of Lexington Food Tax, unless exempt (W&L department funds or tax-exempt groups).

A 20% Service Fee is applied to food and beverage orders to cover labor and service staff. This fee is not a gratuity and does not include bar service. W&L department funds (Workday) are exempt from this fee.

7. Deliveries and Setup

  • Complimentary delivery is provided for on campus events.
  • For off-campus events, the delivery charge is $100 within an 8-mile radius, and an additional $10 per mile after that.

Event Setup:
Tables and chairs are not provided by W&L Catering. Please arrange for their delivery through Facilities Management if they are not available at your event location. Email facilities@wlu.edu for an inquiry.


W&L Catering does not provide Tables or Chairs for events that are outside of Evans Hall.

8. Alcohol Policies
W&L Catering holds an ABC license to serve alcohol at your event. Please request alcohol service when placing your initial order.

  • Alcohol service must be requested at the time of booking your event for planning purposes.
  • Any group that wishes to procure specialty alcohol will be subject to all charges via their Catering order.
  • All leftover alcohol remains the property of W&L Dining due to service licensing and liability regulations.
  • Alcohol service is limited to the designated event space. Outside alcohol is prohibited unless approved and inspected by W&L Catering. In this case a corkage fee would be applied.
  • All Managers are TIPS certified and will refuse service to guests who are underage or intoxicated.

Bartenders: Events with alcohol require one bartender per 50 guests. Bartenders are billed at $30 per hour. Bartender hours will include setup and teardown time, which is an additional 30 minutes before and after the event totaling one hour. (Example: Reception from 6:00pm-7:00pm would require a bartender to be onsite from 5:30pm to 7:30pm totaling $60 for 2 hours of Service)

9. Linens and Equipment

  • Standard house linens are included for serving and seating tables with your food order.
  • Additional linens (e.g., display tables, check-in tables) are available for rental.
    • White 85" Square: $7.00 each
    • White Banquet Linen (52" x 114"): $7.00 each
    • White 120" Round Linen (Floor Length): $30.00 each
    • Linen Napkins: $0.75 each
      • Colors: White or Blue

Specialty linens are available in various colors and styles. Contact Catering for assistance in ordering.


10. Client Responsibilities
Event organizers are responsible for ensuring that all facilities are ready for catering services and that there is access to the event space. Clients should ensure proper behavior from all event attendees and notify Catering staff if any issues arise. If any issues are out of the control of Dining Services, then please call Public Safety at 540-458-8999 or if there is an Emergency please dial 9-1-1.

11. Excess Food and Sustainability
Guests are welcome to order "to-go" boxes from our compostable section on our Catering site and utilize this method to take any additional food home.
Any unserved/untouched food may be redirected to other Dining locations or donated to Campus Kitchen when applicable.

Washington and Lee University's Department of Dining Services is fully licensed by the State of Virginia to provide complete bar service at any catering location approved by the University. All operations comply with the regulations set forth by the Virginia Alcoholic Beverage Control (ABC) Board.
Please note that alcoholic beverages may only be served to guests aged 21 and older.

Bartenders will be scheduled to arrive 30 minutes prior to the event start time and remain 30 minutes after the event ends for set up and tear down. A bar fee of $30 per hour per bartender will be applied.

Bar Service Pricing & Policies

  • Minimum Bar Sales Fee: A minimum of $300 in bar sales is required per event. If bar sales do not meet this minimum, the remaining balance will be added to the final invoice.
  • Bartender Staffing & Fees:
    • Bartenders are scheduled to arrive 30 minutes prior to the event and stay 30 minutes after for setup and tear down.
    • A bartender fee of $30 per hour per bartender applies.

Minimum of 15 guests required.
Our Dinner Buffets are designed to provide a well-rounded and elegant meal suitable for both formal and casual events. Each buffet includes a thoughtfully prepared main entrée, paired with your choice of salad, vegetable, starch, bread with butter, and dessert.

Beverage service includes Caribou Coffee, Herbal Tea, Unsweet Iced Tea, and Ice Water.

Buffets are fully staffed and include professional setup, serving ware (compostable or china, based on your event needs), and post-event clean-up. All items are served buffet-style and priced per guest.

Should you wish to forgo coffee and tea service, a $2.00 per person credit may be applied upon request.
Wine service may be added for an additional per-bottle fee.

Standard linens for serving and seating tables are included when you order food or beverage through Washington and Lee Catering. This includes white tablecloths and napkins appropriate for your event setup.

If you do not order any food or beverages, or if you require additional or specialty linens (such as colored linens, overlays, etc) please speak with Catering Administrators.
All linen rental orders include a convenient duffel bag for returning dirty linens.

• Proper Disposal: We encourage event hosts and guests to use clearly marked compost bins provided at events to ensure serviceware is properly composted. Contamination of compost bins with non-compostable materials can compromise composting efforts.

• Supporting Local Efforts: Our catering service works closely with university sustainability programs and local waste management partners to maximize composting and recycling initiatives.

Additional Glassware (Bars) - $3.00 per person
This fee applies when glassware is requested for bar service or beverage stations in place of compostable cups. It covers the rental, delivery, on-site setup, breakdown, and cleaning of:

China Rental and Delivery Fee - $4.00 per person

Staffing Fees

Culinary Chef - $50.00 per hour
A Culinary Chef fee is applied when your event requires an on-site chef for live action stations, elevated plated meals, or specialized food preparation that goes beyond standard buffet or drop-off service. This ensures your menu is executed to the highest standard and allows for real-time customization or presentation.

Catering Staff Worker - $25.00 per hour
Applied when staff are required to remain onsite for set-up, service, or clean-up.

Evans Hall Catering Setup Fee
Events held in Evans Hall will incur a setup fee equal to the cost charged by Facilities Management for event setup as events in Evans Hall are almost always setup by W&L Catering Staff.
