Workday Student Quick Tips

1. How to view all students' schedules within a course for rescheduling purposes.

  • Visit the following URL: go.wlu.edu/MySched
  • Go to the Section Schedules tab, then select your desired term and the Course Section you want to review.

If you aren't used to printing from Excel, check the File, Print Preview screen (on the right) to make sure you will print on one page. We recommend using Page Layout, Orientation, Landscape. The Term is provided, course section, Calculate Aggregate Summary, Calculate Aggregate Summary with  Free Times, Calculate Aggregate Summary with Names, Print Section Schedules.

  • Use the “Calculate Aggregate Summary With Free Times” feature to examine the class schedules and see available times.
  • If you don’t see these tabs/options, you may need additional permissions given to your account. Please submit a helpdesk ticket to get the permissions added (helpdesk@wlu.edu or call x4357).

2. Print class rosters with large photos.

  • Log into Workday at using your W&L credentials.
  • Select the "Workday" tile.
  • For faculty members, click on "My Assigned Course Sections" to drill down into your courses by term. If you are an Academic Administrative Assistant, select "By Course Section," then choose the department and course to find the appropriate term.
  • Search for "W&L Photo Course Roster" and click on the report.
  • You can select more than one course by checking additional boxes. The rosters will print with a page break at the end of each section.
  • Click "Print" at the bottom of the page to print the rosters.

3. How to View Teaching Schedule

To view a faculty teaching schedule in Workday, follow these steps.

  • Log in to Workday at myapps.wlu.edu using your W&L credentials.
  • Click on the Global Navigation button in the top left corner beside the W&L logo and select the “Teaching” app.
  • Click on "View Teaching Schedule."
  • Select the Current Period or Past/Future from the list under Academic Period.
  • Choose the Year and whether you want to view Undergraduate or Law courses.

As an Academic Administrative Assistant, follow these steps.

  • Log in to Workday at myapps.wlu.edu using your W&L credentials.
  • Access the Rosters & Teaching Schedules Dashboard or search for "View Instructor Teaching Schedule."
    • Enter the Instructor and Academic Period you want to view
    • You can use the icons above the report to the right to export the roster to either excel or a pdf.

4. How to Generate Unofficial Transcript

As a Student:

  • Log in to Workday at myapps.wlu.edu using your W&L credentials.
  • Click on the Global Navigation button in the top left corner beside the W&L logo and select the "Academics" app.
  • On the right, select "Generate Unofficial Transcript."
  • Check "Confirm" and click "OK."
  • Wait, or click "Notify Me Later" to view the transcript pdf.

As Advisor: 

  • Log in to Workday at myapps.wlu.edu using your W&L credentials.
  • Click on the Global Navigation button in the top left corner beside the W&L logo and select the "Advising" app.
  • On the right, select "Generate Unofficial Transcript."
  • Check "Confirm" and click "OK."
  • Wait, or click "Notify Me Later" to view the transcript pdf.

5. Troubleshooting Registration

  • Check Eligibility: Use the "Troubleshoot Registration" tool by typing it in the search field to ensure you meet the eligibility requirements for courses before registration.
  • Request Overrides: If you do not meet the eligibility criteria, you can request a Pre-Requisite Override. Log into Workday, select "Request Course Section Prerequisite Override," and fill out the required information.
  • Review Holds: Check for any holds that may affect your registration. This can be done by logging into Workday and selecting "Holds" under "Registration Requirements"
  • Consult with Registrar's Office: If you have questions or need assistance regarding your eligibility, you can contact the Registrar's Office via email (registrar@wlu.edu) or phone (x8451).

6. How a student submits an eligibility override.

  • Log into Workday: Go to myapps.wlu.edu and log in using your W&L credentials.
  • Access the Request:
    • Click on your Applications and select "Academics."
    • Expand the Planning and Registration sidebar.
  • Select Eligibility Override:
    • Look for the option titled "Request Course Section Prerequisite Override" and select.
  • Fill Out the Request:
    • Select the required term and course information.
    • Optionally, enter supporting details in the comment section.
  • Submit Your Request: Click "Submit" to complete your request.
  • Check Notifications: After submission, check notifications in the top right corner for the outcome of your request. If approved, you will receive permission to enroll in the course (note that you still need to enroll manually).

7. How Faculty approve an eligibility override.

  • Log into Workday: Go to myapps.wlu.edu and log in using W&L credentials.
  • Access Inbox:
    • Click on the inbox item located in the top right corner of the screen.
  • Find Eligibility Override Request:
    • Look for a message titled "Eligibility Override."
  • Select Action:
    • Choose one of the following options:
      • Approve: If approved, no further action is needed, and the student will be given permission to enroll (note that this does not automatically enroll the student).
      • Send Back: This allows the student to modify or change their request if applicable.
      • Deny: If denied, no further action is required, and the student will not be able to enroll.

8. W&L FERPA locations

  • Directory Information: In Workday, you can use Manage My Privacy Settings to indicate whether you would like a FERPA Block on your directory information.
  • Workday Third Party Access: In Workday, you can add permission for a third party to access the Financial Aid Online portal on your behalf and upload tax documentation, view your current class schedule, or grades on past courses.
    • To do so, add the Third Party to your Friends and Family. Then click "Actions" and choose the permissions you wish to grant. Confirm and Submit.
  • TransAct Third Party Access: You can also add a third party to be able to view and/or pay a bill on your behalf. To do so, login using this link.
  • Detailed Access: There are two custom objects in Workday. One available to all W&L folks, one locked down to just Deans. To give specific detailed access to your education record, chose your profile in Workday > Actions > Additional Data > select the object your would like to add permissions to.

Box Hub for Workday Student

Try using the Workday Student Box Hub to find answers and directions to common tasks in Workday.
