Email Signatures
When communicating using Washington and Lee University email, signatures should be professional and consistent with W&L's brand and intellectual property. Email signatures should be concise and include only the essential details outlined below.
Avoid using logos, graphics, or vCards, as they can increase file size and may be blocked by spam filters or appear as attachments. Do not include taglines, personal messages, or quotes, as they may be perceived as university-wide statements. Recommended fonts for email signatures are system fonts Calibri or Arial, 11- or 12-point.
Key elements include:
- Name
- Title
- Department or Office
- Washington and Lee University or W&L
Optional elements include:
- Phone Number
- Pronouns
- Official university or department website (not personal websites)
- Official university or department social media accounts (not personal accounts)
- Address
- Graduation year if a graduate of W&L

Business Cards and Stationery
Business cards introduce the individual and the university, so they should all be in the same style. The Wordmark is centered at the top of the card with the individual's name, title, telephone numbers, and email address centered in the middle of the card. Individuals may choose whether to include the campus address as part of the card. Members of the Department of Athletics may use the Trident as a complement to their cards.
For stationery, the Wordmark is centered at the top of the stationery. The office or division is centered beneath the Wordmark in Palatino small capital letters. At the bottom of the page is the inside address, also using the Palatino font. The stationery can be pre-printed with the letters in blue. There are two versions of the templates, one is in blue for use with a color printer and the other is in black for use with a black and white printer.

Name Tags
A name tag template is available for campus use. If your department uses a large quantity of name tags, we recommend that you purchase blank Avery name tags from a local vendor. Then send the tags, along with an order form, to the Copy Center. Your department will receive back name tags with the approved design ready for use on your printer, which you can use to add individual information. In setting up individual names, use Palatino type. The first name should be in 36-point type; the last name should be in 28-point type; and the individual's title should be in 16-point type.
In addition to temporary nametags, permanent/reusable nametags can be requested using the Communications Ticketing System.
